How do I record and submit my off-the-job training hours?
In this article you will learn how to record and submit your off-the-job training hours each month through the Aptem platform.
Recording and submitting your off-the-job training each month is an important part of remaining eligible to receive government funding; without keeping it up to date, your apprenticeship may come to an end.
Get into the habit of taking a few minutes to log your off the job training each day. Don't forget to submit at the end of each month.
Off the job training must be submitted at the end of each calendar month, and that entry should only contain entries relevant to that specific month. If you need to add entries to past months, we may need to unlock those for you to be able to do this, so please contact us for guidance.
To log your off-the-job training hours in Aptem, please follow these steps:
- Log into Aptem using your Skills Edge student account
- From your dashboard, go to your 'Learning Plan' which you will find in the main menu to the left
- Scroll to the calendar month, and find the component titled "Off-The-Job Training" which is usually the last component due in that month
- Click the component to open it, and then click 'Start Learning'
- Record your off-the-job training activity, be sure to click the '+ Add another' button to create a row per entry.
- We recommend in the 'What have I learnt?' section that you include or reference which apprenticeship standard criteria this event met. You can find a list of all apprenticeship standard criteria on the Skills England website.
- Until you have completed ALL of your records for that month you should click 'Save'.
- When you have completed all of your records for that calendar month then please click 'Finish'. Clicking Finish will lock this record down (it can no longer be edited), and we will then review and verify the hours.
Duplicate entries or entries that do not meet the apprenticeship standard will be referred back to you for removal or further work. It is worth checking this before submission.
Remember your off-the-job training entries must demonstrate new knowledge, skills and behaviours. Repeat entries that do not demonstrate a new understanding, ability or approach will likely be disregarded.
