What You Need to Do When Your Employer Changes

Why this matters

If your employer changes — including through TUPE, acquisition or organisational restructure — we are required under ESFA funding rules to update your apprenticeship record.

To do this, we need some information from you as soon as possible.

Until this information is received and funding is approved, training activity may need to pause. Acting promptly helps protect your apprenticeship journey and avoid disruption.

 

What you need to provide

1. Confirmation of your new employer details

Please confirm:

  • Your new employer’s company name
  • Your start date with the new employer
    (for example, your TUPE or transfer date)
  • Why
    This allows us to update your apprenticeship record correctly and ensure funding is linked to the correct employer.

2. Confirmation of your role and hours

Please confirm whether:

  • Your job role has remained the same
  • Your contracted working hours have changed

Why

  • We must confirm that your role continues to meet apprenticeship eligibility requirements.

 

3. Update your Off-the-Job (OTJ) training hours

You must:

  • Confirm the off-the-job training hours completed with your previous employer
  • Begin recording OTJ hours under your new employer from the correct date

We will guide you on how to do this if needed.

Why

  • Off-the-job training is a mandatory funding requirement.

  • Accurate records are essential and are checked during audit. Missing or unclear OTJ records can delay reviews, gateway and completion.

 

Timescales and impact on your apprenticeship

To remain compliant with ESFA funding rules:

  • Training can only continue once employer details and funding are approved
  • Delays in providing information may result in a temporary pause in training activity

Providing the requested information promptly helps ensure:

  • Your learning continues without interruption
  • Your progress stays on track
  • Your apprenticeship record remains accurate

 

What you do NOT need to worry about

You do not need to:

  • Restart your apprenticeship
  • Re-enrol from the beginning
  • Repeat learning you have already completed

This is an administrative and funding update only.

 

What happens next

Once we receive your information:

  1. We update your apprenticeship record
  2. Your employer approves the change in the Apprenticeship Service
  3. Funding is confirmed
  4. Training continues as normal
